Privacy Policy

1. Who is responsible

2. Visitors to this website

We keep it minimal. This website sets no advertising or analytics cookies. We use browser storage only for functional preferences (your selected pricing currency) and, if you use the live chat demo, a random session identifier so the conversation can keep its context. Standard technical data (IP address, browser type) is processed by our hosting providers to deliver the site and for security.

3. Operators (our customers)

When you create an account or purchase our services we process your business contact details, account settings, the knowledge base content you provide, and billing information. Payments are processed by our payment provider (Stripe); we do not store card numbers. We use this data to provide and invoice the services and to support you.

4. Guest conversations (data we process for operators)

The AI Front Desk processes the messages that guests send through an operator's website chat, WhatsApp or booking channels, together with relevant booking context, in order to generate responses on the operator's behalf. Conversation history is stored so the assistant keeps context, and is available to the operator. We process this data as a service provider to the operator — the operator remains responsible for their guest relationships.

To generate responses, message content is processed by carefully selected cloud AI infrastructure providers under agreements that prohibit them from using this data to train their models. An automatic guard redacts contact details from responses unless they belong to the property itself. A list of our subprocessors is available on request.

5. Retention

Conversation history is retained while the operator's account is active so returning guests keep their context, and is deleted or exported on account closure (see Terms). Billing records are kept as long as commercial law requires. Website-demo conversations may be reviewed internally to improve reliability and are not used for marketing.

6. Your rights

Depending on your jurisdiction, you may have rights to access, correct, export or delete personal data we hold about you, and to object to certain processing. Guests should direct requests to the property they communicated with; we support our operators in fulfilling them. You can always reach us at sebastian@hpdxb.com — we respond within 30 days.

7. Security

Data is encrypted in transit, access is limited to what operating the services requires, tenants are isolated from each other, and secrets are revealed in chat only after guest verification. No internet service can promise absolute security, but we treat guest conversations with the confidentiality of a front desk.

8. International transfers

Our infrastructure providers operate in multiple regions, including the United States and the European Union. Where personal data is transferred internationally, we rely on our providers' recognised transfer safeguards.

9. Changes

We will update this policy as the services evolve and adjust the date above. Material changes affecting operators are announced by email.
